This Privacy Policy explains how IntelliInfra AI Pty Ltd ("IntelliInfra AI", "we", "us", "our") collects, uses, discloses, and protects your personal information when you use the Intelli-Assist platform ("Service"). We are committed to protecting your privacy in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Information We Collect
1.1 Account Information
When you create an account we collect your name, email address, and password (hashed). If you use Single Sign-On (SSO) or social login we receive your basic profile information from the identity provider.
1.2 Integration Data
When you connect third-party services (Google, Microsoft 365, Slack, CRM systems, etc.) we store encrypted OAuth tokens so Intelli-Assist can act on your behalf. We access your data on-demand — we do not bulk-copy or archive your emails, files, calendar events, or messages.
1.3 Usage Data
We automatically collect device type, browser, IP address, pages visited, feature usage, and interaction patterns to improve the Service.
1.4 Conversation Data
Your chat messages and AI responses are stored to maintain conversation context and improve the quality of assistance. You can delete conversation history at any time from Settings.
2. How We Use Your Information
We use your information to:
- Provide, maintain, and improve the Service
- Authenticate your identity and manage your account
- Connect to and interact with your third-party services on your behalf
- Personalise your experience (AI memory, preferences, scheduling)
- Send service notifications, security alerts, and support messages
- Analyse usage patterns to improve features and performance
- Comply with legal obligations
3. Data Sharing and Disclosure
We do not sell your personal information. We may share data with:
- Third-party integrations — only as directed by you when you connect a service and approve an action
- AI model providers — your prompts are sent to AI providers (e.g. OpenRouter, OpenAI) to generate responses. We do not share your name or email with these providers
- Infrastructure providers — hosting (Google Cloud), monitoring, and analytics services that process data on our behalf under strict contracts
- Legal requirements — if required by law, court order, or to protect our rights and safety
4. Data Security
We implement industry-standard security measures including:
- Encryption at rest and in transit (TLS 1.2+)
- OAuth tokens encrypted with AES-256 before storage
- Password hashing with bcrypt
- Role-based access controls
- Regular security audits and vulnerability assessments
- AI safety guardrails and content filtering
5. Data Retention
We retain your account data for as long as your account is active. Conversation history is retained until you delete it. When you delete your account, we remove your personal data within 30 days, except where retention is required by law.
OAuth tokens are deleted immediately when you disconnect an integration.
6. Your Rights
Under the Australian Privacy Principles, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and data
- Withdraw consent for data processing
- Disconnect any third-party integration at any time
- Export your data

7. Cookies and Tracking
We use essential cookies for authentication and session management. We use analytics cookies to understand usage patterns. You can disable non-essential cookies in your browser settings.
8. International Data Transfers
Your data may be processed in Australia and the United States (where our cloud infrastructure is hosted). We ensure appropriate safeguards are in place for any international transfers in compliance with Australian privacy law.
9. Children’s Privacy
Intelli-Assist is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information from children.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or an in-app notification. Continued use of the Service after changes constitutes acceptance of the updated policy.
